Job Description:

Objective of the Job : Professional and efficient managing of visitors, consumers, telephone calls and messages, as well as a variety of clerical duties that support consumer services, information and referral and the operation and presentation of a professional office.
 
Job Relationship :
 
A. Accountable for :                  All Departments
B. Reporting to :                        HR Manager
C. Coordination with :               Employee in all the departments of the Company
D. With external Institutions :   Relevant Companies
 
Dutie and Responsibilities :
  • Greet and direct visitors to appropriate area or employees
  • Operate a central telephone console or multi-line system to receive and route calls
  • Record telephone messages, screen calls as directed, ask questions to determine customers' needs, and direct visitors to appropriate employee / department
  • Perform basic office support functions such as keyboarding, filing, and record keeping as and when required
  • Provide information or instructions for forms completion and performs mailing activities
  • Collect and distribute mail and messages
  • Arrange appointments of management level employees and answer inquiries
  • Register and sorts incoming mails and distribute them timely
  • Performs other duties as assigned by the supervisor
  • Prepare report on all job performed and submit report to the concerned authority in writing or verbally
  • Perform all other relevant duties as needed and required
Knowledge and Skills:    
  • Preferably one year of experience in relevant field                         
  • Knowledge of PABX system
  • Effective communication and interpersonal skill
  • People handling and Convincing skill
  • Problem solving and tactfulness
  • Basic Computer skill
