ROLE PURPOSE:
Under the supervision of the Logistics Coordinator, deliver timely, effective and accountable logistics and administrative support to Save the Children district teams and Dhulikhel cluster office in fleet booking, scheduling and management as well as overall coordination of administrative tasks for Dhulikhel Cluster Office.
This role will play be key in the expansion of Save the Children programmes in Dhulikhel Cluster Districts to increase the impact of Save the Children and enable positive change for children.
SCOPE OF ROLE:
Reports to: Logistics Coordinator
Staff directly reporting to this post: Drivers, Office Cleaners – TBC – Admin or Logistics Assistants
KEY AREAS OF ACCOUNTABILITY:
Fleet:
- Overseeing effective management of cars and truck rental contracts
- Weekly scheduling of vehicles and movement planning – including trucks
- Overseeing dispatch of all fleet and taking a strategic role in increasing efficiency in vehicle use
- Daily up-date of vehicle movement board
- Assign drivers for movements and dispatch of all vehicles in a timely manner
- Ensure efficiencies in fleet use (i.e. identifying opportunities for shared movements)
- Managing driver scheduling
- Ensuring that SC vehicles undergo regular maintenance and meet SC safety standards (tyres, seatbelts, fire extinguishers, first aid kits)
- Ensuring vehicles carry emergency stocks and conducting regular inventory checks on these items
- Monthly fleet report is submitted
- Tracking of fuel consumption for SC owned or SC fuelled vehicles and reporting discrepancies
- Communicating fleet procedures effectively so they are understood and strictly adhered to throughout the programme
- Clear and accessible filing of authorised weekly movement requests, fuel vouchers, maintenance records and vehicle log sheets
- Supporting field/district teams in implementing standard fleet management systems
- Ensuring staff movement security protocols are adhered to – updates every two hours, satellite phones on board for field movements, vehicles are not travelling after 6.30 pm, drivers keeping to speed limits etc.
- Ensuring SC fleet operate safely and reporting breaches of security and potential threats to staff safety
- Working with Security Officer to track road closures and inform drivers/passengers and mapping landslide risk areas
Admin:
- Management of cleaners
- Making hotel bookings and arranging accommodation for new staff and visitors
- Regular orders of office supplies (including stationary, pantry supplies, phone credit)
- Ensure staff are assigned with phone credit on a monthly basis
- Ensure leases and hotel accommodation payments are processed in a timely manner
Other:
- Gap filling other members of the logistics team when they are on leave or absent due to work demands out of the office.

QUALIFICATIONS AND EXPERIENCE
- Bachelor’s degree in any discipline preferably in Management
- Minimum 1 year of relevant work experience preferably in I/NGOs
- Good negotiation skills
- Ability to manage a heavy workload and competing deadlines
- Competency in MS Office and working with Excel formulas
- Willingness to work and travel in often difficult and insecure environments
- Excellent planning, coordination, and reporting skills, with the ability to organise a substantial workload comprised of complex, diverse tasks and responsibilities;
