ROLE PURPOSE:

The purpose of this position is to support district team in finance, administration and logistic works, monitoring and coaching to partners of SCI on the districts and assist Senior Finance and Admin Coordinator for maintaining efficient financial management in the region.
 
KEY AREAS OF ACCOUNTABILITY:

Finance Jobs;

  • Fund management of district office; prepare Cash flow forecast, and reconciliation of cash, bank and fund and its utilization.
  • Check all bills and invoices and ensure that all invoices are received on time  and adequate supporting documents are available
  • Ensure procurement process are properly followed  and invoices are accurately authorize before payment
  • Check/ensure proper charging and coding of the expenditures, prepare vouchers and inputs the data into the system 
  • Make timely payments of vendor’s bills and settlement of advance, liabilities and receivables etc and reconcile periodically
  • Prepare checks and submit  for review and approval
  • Establish and maintain the filing system
  • Back up data of electronic finance and finance related documents will be taken daily and safely kept.
  • Provide and guide program staff on the payments of direct implementation activities as per request.
  • Ensure/Support PNGOs to fulfill the compliances (local laws, donors’ requirements, partnership guideline and organizational admin/finance policies and procedures).
  • Ensure/work together with Sr. FAC and project coordinator in the audit concerns are realized, addressed and regularized of the region as well as partner organizations.
  • Regular monitoring /coaching/support visit in PNGOs.
  • Submit monthly finance report in GLACOS by end of each month to Sr. Finance and Admin Coordinator 

Administrative jobs:

  • Manage day to day administrative and logistics of district office
  • Manage hotel reservation, ticket arrangement and other logistics arrangement for staff, guests, and official visitors for training, meeting, workshops when required.
  • Support Implementing partners to strengthening logistics and procurement system
  • Carryout monitoring of procurement made by partner organization in coordination with concern programme coordinator 
  • Educate and orient procurement policy and procedure to partner organization in coordination with program coordinator.
  • Manage inventory of SC properties in the district
  • Supervise finance assistant, driver and support staff 
  • Work in emergency situation in the region or as assigned per dual mandate of the organization

QUALIFICATIONS AND EXPERIENCE
Education

  • Bachelor's degree in Commerce, Business Administration, Business Studies or related discipline 

Work Experience

  • 3 years of relevant work experience preferably at INGOs
